AI reads it and fills in the details
The model reads the attachment and pulls out vendor, invoice number, dates, line items, tax and currency, then matches the invoice to the right company, vendor and expense category.
Someone signs off
The invoice waits in a review queue with the original PDF beside the extracted fields. Correct anything that looks off and approve — in the app, or from the Slack message.
Bill appears in QuickBooks
Approved invoices become bills in QuickBooks Online, mapped to the vendor and expense account you confirmed. If a matching bill is already there, BookBird links to it instead of creating a duplicate.

Invoice processing is nearly all mechanical. Someone opens a mailbox, downloads a PDF, retypes the vendor and the total, decides which account it belongs to, files the document somewhere, and enters a bill. Only one of those steps needs judgement.
BookBird automates the other five and leaves the judgement call where it belongs. Nothing reaches your books without a person approving it, and every approval, correction and rejection is on the record with a name and a timestamp.
It is deliberately narrow. It does not want to be your ledger or your reporting suite — QuickBooks is already good at that. It handles the stretch between the invoice arriving and the bill existing, and tries to be genuinely reliable across it.

How we intend to charge
Per company connected to QuickBooks — not per seat.
Invoice review works best when the whole team can do it: the person who knows what a charge was for should be able to approve it. Charging per seat would push you to share one login, which is exactly the wrong incentive for something that keeps an audit trail.
So a practice with four client entities pays for four, however many people review the invoices.

What is BookBird?
BookBird turns the invoices that arrive in your inbox into bills in QuickBooks Online. It watches your mailboxes, reads each attachment with an AI model, works out the company, vendor and expense category, files the PDF in Google Drive and puts the invoice in front of someone to approve before anything reaches your books.
How does the email side work?
You connect Gmail, a plain IMAP mailbox, or a Google Group — as many as you like, each linked to one or more of your companies. BookBird checks them on a schedule and picks up new messages with attachments on its own. Nothing is uploaded by hand.
Which accounting software does it support?
QuickBooks Online. The connection is OAuth-based, and BookBird creates bills, matches vendors, syncs your expense categories and reconciles against bills that already exist in QBO. QuickBooks Online is the only accounting system supported today.
How good is the extraction, really?
Good enough that reviewing is quick, not good enough that we would ask you to trust it blindly — which is why nothing reaches QuickBooks without a person approving it. Every invoice stops in a review queue with the original PDF next to the extracted fields, and anything the model got wrong is corrected there in a few seconds. We would rather show you that design than quote an accuracy percentage.
What stops a bill being entered twice?
Before creating anything, BookBird searches QuickBooks for a bill that already matches the vendor, amount and date. If it finds candidates, the invoice waits on a QBO Match Review screen where you accept the existing bill or tell it to create a new one. Approve and push paths are also locked so the app and Slack cannot both push the same invoice at once.
Can my team approve without opening the app?
Yes. Connect Slack and invoices arrive in the channels you choose with Approve and Reject on the message itself. Actions taken in Slack land in the same audit log as actions taken in the app.
Can I manage several companies?
Yes. A workspace holds as many companies as you need, and each one keeps its own mailboxes, vendors, categories, Drive folders and QuickBooks connection. Members are given access per company, so people only see the entities they work on.
How is my financial data protected?
Traffic is encrypted in transit and access tokens are encrypted in the database — we never store passwords for the services you connect, only OAuth tokens. Accounts can be protected with two-factor authentication or a passkey, and a workspace can require it for everyone. Every action on an invoice is written to an audit log. Our privacy policy sets out how we handle personal data under GDPR and UK GDPR.
What does it cost?
BookBird is in early access and free while we onboard the first teams — no card required. When pricing lands it will be per company connected to QuickBooks rather than per seat, so bringing your whole team in to review invoices never costs more. Anyone on board during early access gets told well before anything changes.
